Registration Information |Rules & Regulations

During distribution of the guide, applications are accepted and a random processing system is utilized. Non-Pickering resident applications are processed two weeks after the resident registration date. Participants must meet program age requirements by the first class. 

Post-dated cheques must be dated a minimum of two weeks prior to the start date except for camps.  No cheques will be accepted for camps less than one month before camp start date.

 
Program Cancellations Due to Inclement Weather

Under extreme weather conditions, programs may be cancelled. Programs cancelled by the City will be made up or refunded.

Refunds, Withdrawals, Transfers

A full refund is issued if the City of Pickering cancels a program. The City reserves the right to cancel programs due to insufficient registration.

Withdrawals and transfers completed through the customer portal on Activenet do not incur administration fees.  Instructions to withdraw or transfer online are listed below.

Withdrawing from a Registered program - Online Eligibility Criteria

  • Must be 48 hours before the program start date for group swim lessons, regular fitness and leisure programs
  • Must be more than 7 days in advance for aquatic leadership, private or semi-private lessons, and camps

Withdrawing from a Registered program – With Program Registration

  • Once the online withdraw/transfer window is closed, leisure and aquatic requests for refunds/transfers must be done using the withdraw/transfer form. The form can be filled out online or a PDF copy can be requested from Program Registration Staff.
  • Refunds are calculated on a pro-rated basis, based on the date the written request is received and subject to an administration fee.
  • Refunds will not be issued after the second class for group swim lessons, regular fitness and leisure programs unless accompanied by a doctor’s note.
  • Refunds will not be issued less than five business days in advance for aquatic leadership, private or semi-private lessons, and camps unless accompanied by a doctor’s note
  • Refunds will not be honored for COVID, unless medically supported
  • Missed classes will not be made up, or refunded.

Administration Fees

  • Aquatic leadership course refunds are subject to a $38.00* administration fee.
  • Group aquatic, semi-private and private lessons, leisure and fitness programs and camp refunds are subject to an $11.50* administration fee.
  • A $49.00* fee will be applied to all NSF cheques returned by the bank to the City of Pickering. If a client withdraws from a program with registration staff, an $11.50* administration fee applies.
  • Debit and cheque registrations will be refunded to the Activenet account. Cheque refunds are available upon request ad take 4 - 6 weeks to reach you by mail.

Transfers are subject to an $11.50* administration fee.
*HST will be added to applicable programs.


Instruction to Withdraw from a Program Online
  1. From a desktop, laptop or full site view from a mobile device – Log into your Activenet account at pickering.ca/active
  2. Click on My Account
  3. Open Payment and Management Order
  4. Click on Transaction and Payment History
  5. Scroll to the correct activity and click on withdraw
  6. In the pop up Withdraw Details window click on the (down arrow) beside the word Account to select for credit card if used for the transaction
  7. Click on green Withdraw button
  8. Click on green Finish button
  9. You should now see the confirmation screen that shows your receipt and indicates that the withdraw transaction is complete.

Wait Lists

Your name will be added to the wait list for your first choice only. You may add your name to a wait list using Active Net without making a payment.  Please note: there are no wait lists for any camp programs.

Enrolment Confirmation / Receipts

Enrolment is complete when a confirmation letter or number (pending bank approval) is provided. You may confirm enrolment online through your Active Net Account, or call registration at 905.420.4621.

For a second and subsequent confirmation letter, a $5.65 administration fee will be required. Tax receipts are available online. Log into you Active Net account and under account activity, go to ‘print tax receipts’.

Discounts

Where there are three or more children in the same family taking part in the same program, the third child will be charged half price. Discounts will apply to the lower priced program within the current session. This does not apply to CHDRC Memberships, as family rates are available. Additionally, this does not apply to Aquatic Certification Programs.

Low Income Discounts will be considered with a copy of the applicant's Notice of Assessment, (family). Subsidy is reviewed and based upon Canada's Low Income cut-off - LICO. 

Persons with disabilities and senior citizens (65+ years of age) are eligible for a 50% fee reduction, except in programs specifically designed for these individuals. *A copy of a disability allowance cheque or a copy of the disability tax credit form, must be provided. Low Income Discount is not available for March Break camps, with the exception of the child having approved disability status* (confirmation medical paperwork will be required for approval) 

Some programs and camps are operated by contracted service and therefore may not be subject to City of Pickering discounts.

Please note, if registration is completed online, the application must be made in writing within the current session to the registration office and any applicable discount will then be applied to your account. One discount may be applied to one activity per person, per session. Sessions are Spring/Summer, Fall, and Winter.

Financial Assistance for Recreation Programs

Pickering residents currently receiving income support through Regional programs may be eligible to receive financial assistance to support the cost of participation in City programs for children.

Safe Arrival and Departure

For the safety of all program participants, we ask that you walk your child into the program area when dropping them off and return to the program area to pick them up at the end of each class/session. Please ensure that the staff person responsible is aware of your presence when you pick up your child. If someone else is picking up your child, please inform one of the instructors at the beginning of the class.

Admission to programs will not be allowed to children who show obvious signs of illness or health conditions that would compromise their safety or the health and safety of others. This includes communicable diseases, flu, watery eyes, runny nose, cold, fever, etc. If a child does not feel well during a program, parents will be called to pick them up.

If your child is participating in a program that is held in a gymnasium, send your child with indoor shoes, as outdoor footwear will not be allowed.

Participant Behaviour Guidelines

For all participants, we want to encourage and create an environment of trust, safety, and above all, fun! We will not accept disrespectful or aggressive behaviour.

Our staff is trained to address inappropriate behaviour from participants of all ages. While we make every reasonable effort to ensure the enjoyment of all participants, if inappropriate behaviour is not changed, a participant’s actions will lead to removal from our programs and services.
